What is a good response time to customer enquiries? Benchmarks 2026

A good reply to a customer enquiry via email or contact form arrives within one hour during business hours. Within four hours is acceptable, the same working day is the minimum — and after 24 hours, many customers have already booked elsewhere. For chat and social media, the unit is minutes, not hours.

That is the benchmark. Reality looks different: studies of actual company behaviour show average email response times above twelve hours, and a significant share of enquiries never get answered at all. The gap between expectation and reality is the business opportunity — the company that replies fast wins customers without being better at anything else.

What does the research say?

  • Responding within an hour gives ~7× higher odds of qualifying a lead compared to responding after two hours (Harvard Business Review, a study of 2,241 US companies). The same study: only 37% of companies responded within an hour.
  • The odds of reaching a lead drop dramatically after five minutes — the classic Lead Response Management studies (InsideSales/XANT) show many times higher contact and qualification rates when responding within five minutes versus half an hour.
  • Around 78% of customers buy from the company that responds first (Lead Connect and others). Speed works as a quality signal: whoever replies fast is assumed to deliver fast, too.

If everyone knows this, why is the average so bad?

Because response time is rarely measured. The phone is staffed and the shop has opening hours — but the inbox and the contact form often have no owner, especially in small businesses where the person who replies also performs the service. Response time becomes a leftover: unmeasured, invisible in any report, and never trained.

That is also why it is such an easy edge to win. Your competitors have the same blind spot.

Frequently asked questions

What is a good response time for customer emails?
Within one hour during business hours is excellent, within four hours is good, and the same working day is the minimum. The average across companies is over twelve hours — so even "within four hours" puts you ahead of most competitors.
How fast should you reply to a quote request?
Same rule as email — ideally within the hour. Quote requests are usually sent to several companies at once, and the firm that replies first and most concretely usually wins the job.
Does response time matter if the reply is good?
Yes. Quality does not rescue a late reply — many customers have already chosen a provider who responded faster. Fast and concrete beats perfect and late.
What is a good response time outside business hours?
Customers do not expect replies in the middle of the night, but they do expect one early the next working day. An enquiry that arrives in the evening should be answered before noon the following day.
